Predict problems that might arise from an agenda item.
Estimate how much time each agenda item might take.
Know what, if any, board action is required for each item.
Know what reports the superintendent and staff
members will make.
Know what recommendations the superintendent will make.
Establish how the public will participate in the meeting.
The chair must introduce each agenda item, facilitate board
discussion and lead the board to a decision on action items. The superintendent needs to prepare the chair by providing background information
before the
meeting.
The chair has "housekeeping"
duties:
Ensure that board members receive information packets at least
five days before the meeting.
Ensure that board members, the public and the news media know
the dates, times and locations of meetings.
Check the meeting room to make sure it suits the board’s needs (temperature, lighting, noise level, etc.).
Arrange seating so that all board members can see
and hear one another. (We recommend a U-shaped set-up so that all board members can
see one another.)
Ensure that an amplification system is in place so members of
the audience can hear the board’s discussions.
